Physionex Privacy Policy

This Privacy Policy explains how Physionex Labs LLC (“Physionex,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you use the Physionex application, website, and related services.

Information we collect

Depending on the features you use, Physionex may collect:

• Account information such as your name, email address, authentication provider, profile details, and account role.
• Workspace information for Personal, Coach, and Gym workspaces, including memberships, permissions, business details, and client relationships.
• Fitness and wellness information you choose to provide, including goals, workouts, exercises, sets, repetitions, weight, personal records, meals, nutrition information, body weight, progress photos, check-ins, recovery information, injuries or limitations, and related notes.
• Coach and gym information including programs, schedules, forms, appointments, messages, milestones, client relationships, and business branding.
• Information received through integrations you enable, including Apple Health, Health Connect, supported scales, calendars, wearable services, and similar integrations.
• Purchase and subscription information. Apple, Google, and our billing provider process payment information. Physionex receives transaction, entitlement, product, renewal, and subscription-status information rather than complete payment-card details.
• AI request and response information, including prompts, intake details, generated plans, model usage, safety results, and technical metadata.
• Technical information such as app version, device type, operating system, notification tokens, diagnostics, service logs, and security information.

How we use information

We use information to operate and secure accounts and workspaces; provide workouts, meals, schedules, coaching, communication, progress tracking, and integrations; synchronize authorized information; process subscriptions and restore purchases; provide AI-assisted features; send service notifications; diagnose errors; prevent abuse; and comply with applicable legal obligations.

Health and fitness information

Fitness, nutrition, recovery, injury, body-weight, progress-photo, and health-platform information may be sensitive. You control what information you enter and which integrations you enable.

Physionex does not sell health information and does not use health-platform information for third-party advertising. Health information obtained through Apple Health, Health Connect, or other supported health integrations is used only to provide user-requested Physionex functionality, subject to the permissions you grant.

AI-assisted features

Physionex may send information submitted for an AI-assisted request through our secured backend to an approved model provider. AI-generated content can be inaccurate or incomplete and does not constitute medical advice. See our AI Disclosure for additional information.

How information may be shared

We may share information with people or organizations you authorize, such as a coach, client, gym, or workspace team; service providers that support hosting, security, communications, billing, AI, and infrastructure; Apple or Google for app-store and integration functionality; or when required by law or necessary to protect users, Physionex, or others.

We do not sell personal information to advertisers.

Coach and gym visibility

Information you intentionally share through a Coach or Gym relationship may become visible to authorized members of that workspace according to their role and permissions. Workspace owners are responsible for managing staff access appropriately.

Retention

We retain information for as long as reasonably necessary to provide the service, secure accounts, maintain legitimate operational and transaction records, comply with applicable law, resolve disputes, and enforce agreements. Retention periods vary by data type.

Your choices and rights

You may manage notification, health, calendar, camera, photo, and other device permissions through Physionex or your device settings. Depending on your location, applicable law may provide rights to access, correct, export, restrict, object to, or delete certain information.

Security

Physionex uses administrative, technical, and organizational safeguards designed to protect information. No electronic system can guarantee absolute security. Keep your credentials private and notify us if you suspect unauthorized access.

Children

Physionex is not intended for children below the minimum age permitted by applicable law unless Physionex specifically introduces an appropriately consented guardian- or organization-managed experience.

International processing

Information may be processed in the United States and other locations where our service providers operate, subject to applicable legal protections.

Changes to this policy

We may update this Privacy Policy as Physionex evolves. The effective date will be updated when material changes are published.
